Who we are

PreviewMate (previewmate.vercel.app) is a web application operated by JB Digital ("we", "us", "our"), a digital services business based in the Barossa Valley, South Australia (ABN 26 344 199 586). PreviewMate helps trade and renovation businesses — such as renovators, kitchen and bathroom specialists, landscapers, pool builders, pavers and fencers — turn customer enquiries into professional project briefs, tiered quote proposals and computer-generated concept imagery.

We are committed to handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what we collect, why, and how you and your customers can exercise privacy rights. "You" means the business account holder using PreviewMate.

What personal information we collect

Account holder information. When you create and use an account, we collect your name, business name, email address, invitation code details, login credentials, subscription and usage information, and (once billing launches) payment details processed by Stripe. We also collect essential technical information such as session data needed to keep you signed in.

End-customer information you upload. PreviewMate is designed for you to enter details of your own customers' enquiries: customer name, email address, phone number, property address or suburb, project notes, budget, and photos of the customer's property or rooms. We process this information on your behalf so the platform can generate briefs, proposals and concept imagery for you to share with your customer via a private link.

Because this information belongs to your customers, you must only upload personal information you have the right to provide — that is, information collected fairly from your customer for the purpose of preparing their quote, with their knowledge or consent. Our Terms and Conditions require this.

Why we collect and use personal information

We collect, hold and use personal information to:

  • provide, operate and improve the PreviewMate service;
  • generate project briefs, quote proposals and concept imagery from the enquiry details and photos you provide;
  • manage your account, invitation codes, free trial and subscription;
  • process payments (once billing launches);
  • communicate with you about the service, including support and important updates; and
  • comply with our legal obligations.

We do not sell personal information, and we do not use it for advertising.

AI-generated content

Proposal text and concept imagery in PreviewMate are generated with the assistance of artificial-intelligence technology. To produce this content, the enquiry details and property photos you upload are transmitted to OpenAI, our AI content-generation provider in the United States. Generated content is a concept or estimate only — never a fixed quote, final design or construction plan — and you must review all generated content before sending it to your customer.

Overseas disclosure (APP 8)

To operate PreviewMate we use reputable service providers who may store or process personal information outside Australia, principally in the United States:

  • Supabase — database, authentication and file storage (servers may be located overseas, including the United States);
  • Vercel — hosting (United States);
  • OpenAI — AI content generation (United States); and
  • Stripe — payment processing (once billing launches).

We take reasonable steps to ensure these providers handle personal information consistently with the APPs, including through their contractual and security commitments. Personal information you provide (including your customers' information) will be disclosed to these providers for the purposes described above, and we remain accountable for how it is handled.

Storage and security

Personal information is stored with Supabase, with access controlled through authenticated accounts. We take reasonable steps to protect information from misuse, interference, loss and unauthorised access, modification or disclosure, including access controls, encrypted connections and the invitation-only access model. Generated proposals are shared with end customers only via private links. No system is completely secure, so please keep your login credentials confidential and let us know immediately if you suspect unauthorised access to your account.

Retention and deletion

We keep personal information only for as long as it is needed to provide the service to you, or as required by law. You can delete individual enquiries (including your customers' details and photos) from within your account. If you close your account, or ask us to, we will delete or de-identify the personal information we hold within a reasonable period, except where we are required to retain records (for example, billing records) by law.

Access and correction (APP 12 and APP 13)

You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete or misleading. Contact us at admin@jbdigitalbarossa.com.au and we will respond within a reasonable time, usually 30 days. We will not charge you for making a request. If we refuse a request, we will explain why in writing and how you can complain.

Rights of your customers

If one of your customers wants to access, correct or delete information about them held in PreviewMate, the quickest path is usually to contact you, the business they dealt with — you control their enquiry within your account and can view, update or delete it directly. They may also contact us at admin@jbdigitalbarossa.com.au; we will assist them, working with you where appropriate, to action the request.

Cookies

PreviewMate uses essential cookies only — those needed for authentication and keeping your session secure. We do not currently use any advertising or analytics cookies. For details, see our Cookies Notice.

Complaints

If you have a concern about how we have handled personal information, please contact us first at admin@jbdigitalbarossa.com.au. We take complaints seriously and will investigate and respond promptly. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Changes to this policy

We may update this policy from time to time, for example when we add features or change providers. We will post the updated version on this page with a revised "Last updated" date, and will notify you of material changes through the app or by email.
